Transport Management

Connect routes, students and transport fees.

Transport is where fee errors usually creep in, because the amount depends on the stop and students move between routes mid-year. SchoolerHub keeps route, stop, student and fee joined up.

The problem

Transport fees vary by stop, students change routes mid-year, and vehicle paperwork expires without anyone noticing until it is needed.

Routes and stops

The shape of your transport operation, described once.

  • Routes with ordered stops
  • Outbound, inbound or circular route direction
  • Pickup, drop or both as the trip type
  • A fee amount set against each stop

Vehicles and drivers

Who drives what, and whether it is roadworthy.

  • Bus, van, mini-bus and car vehicle types
  • Vehicle status tracked as active, in maintenance or retired
  • Driver records with active, inactive or suspended status
  • Vehicle-to-driver assignment

Student assignments

The link that keeps the fee correct.

  • Students assigned to a route and pickup stop
  • Assignment status of active, ended or cancelled
  • The correct stop fee linked to the student's fee account automatically
  • A route change updates the dues rather than requiring a recalculation

Compliance and reporting

The paperwork that must stay valid.

  • Registration, insurance, fitness, permit and pollution certificates
  • Expiry dates surfaced before they lapse
  • Route utilisation reports
  • Transport dues reported separately as well as within total dues

Route to fee, in one chain

  1. 1
    Route defined
  2. 2
    Stop added with its fee
  3. 3
    Student assigned to the stop
  4. 4
Transport fee linked to the fee account
  5. 5
    Appears in the student's dues

Outcome: Route, student and fee stay in step, and no certificate quietly expires.

Transport Management — common questions

Do transport fees differ by stop?

Yes. A fee amount is set against each stop, so a student further along the route can be charged more than one closer to the school, without any manual calculation.

What happens if a student changes route mid-year?

You update their assignment, and the linked transport fee follows the new stop. The previous assignment is retained with an ended status rather than overwritten.

Can we track vehicle insurance and fitness certificates?

Yes. Registration, insurance, fitness, permit and pollution certificates are stored against the vehicle with expiry dates, and the system surfaces the ones approaching expiry.
