Fee Management

Know what has been paid. Know what is still due.

Fee structures generate the charges, payments settle against them, and the pending list builds itself — including transport fees, which usually sit in a separate register entirely.

The problem

Knowing who has paid, who has not, and how much is outstanding takes a day of reconciliation across registers and spreadsheets — and the answer is stale by the time it is finished.

Fee structures

Define what your school charges, once, and assign it to classes or students.

  • Structures built from individual line items and fee categories
  • One-time, monthly, term-wise or annual frequencies
  • Draft and published states, so a structure is not live until you say so
  • Charges generated per student from the assigned structure

Payments and receipts

Record a payment once and let the system allocate it.

  • Cash, UPI, card, bank transfer and cheque payment methods
  • Payment allocated across the student's outstanding charges
  • Printable receipts, with a PDF download for records
  • Invoice status tracked as open, partial, paid or cancelled

Concessions and refunds

The exceptions that usually get handled with a pen are first-class records here.

  • Concession types for scholarship, sibling, staff child and hardship
  • Fixed-amount or percentage reductions
  • Refunds allocated back against the original charges
  • An approval trail rather than a manual adjustment

Dues and follow-up

The list your accounts team actually works from.

  • Charge status shown as pending, partial, paid, overdue, waived or cancelled
  • A live dues list of who owes what
  • Fee reminders sent to the relevant parents from the same screen
  • Fee analytics by class, term and category

How a fee flows

  1. 1
    Fee structure defined
  2. 2
    Assigned to students
  3. 3
    Payment recorded and receipt issued
  4. 4
    Pending or overdue identified
  5. 5
    Reminder sent to parent

Outcome: Your accounts team starts the day with the pending list already built.

Fee Management — common questions

Can we charge different fees for different classes?

Yes. Fee structures are assigned per class or per student, so each class can carry its own structure, and individual students can be adjusted with concessions.

Does it handle term-wise fees?

Yes. Fee items can be one-time, monthly, term-wise or annual, and charges are generated for each period from the structure.

Can we issue receipts?

Yes. Every recorded payment produces a receipt that can be printed or downloaded as a PDF.

Are transport fees included in the total due?

Yes. A student's stop-based transport fee links to their fee account, so it appears in their dues alongside academic fees rather than in a separate register.
