Inventory & Assets

Know what you have, where it is, and what it cost.

Consumable stock and fixed assets are handled separately, because they behave differently — stock moves and depletes, assets are assigned and maintained.

The problem

Stock runs out unnoticed until a teacher asks for it, purchases become urgent instead of planned, and nobody can say where a projector went.

Stock

Consumables, across every place you keep them.

  • Categories for stationery, lab, sports, cleaning, uniform, IT consumables and medical items
  • Units of piece, box, pack, litre, kilogram, metre, set and ream
  • Storage locations, with running balances per location
  • Movements recorded as receipt, issue, adjustment, transfer in or transfer out

Purchasing

From order to receipt, with the paper trail intact.

  • Supplier records with status
  • Purchase orders with line items
  • Order status of draft, ordered, partially received, received or cancelled
  • Goods received against the order, updating stock balances

Assets

The things you own rather than consume.

  • Categories for furniture, IT, lab, sports, musical and vehicle accessories
  • Status of available, assigned, in maintenance, retired, disposed or lost
  • Condition recorded as excellent, good, fair, poor or unusable
  • Assignment of an asset to a person or location

Maintenance

Repairs tracked rather than remembered.

  • Maintenance records against the asset
  • Priority and status of open, in progress, completed or cancelled
  • Inventory and asset reports

Outcome: Purchases are planned rather than urgent, and assets are accounted for.

Inventory & Assets — common questions

What is the difference between inventory and assets here?

Inventory covers consumables that deplete — stationery, lab and cleaning supplies — tracked by quantity and location. Assets are individual items you keep, such as furniture and IT equipment, tracked by condition, assignment and maintenance history.

Can we track stock across more than one store room?

Yes. Stock is held per location, with movements recorded as transfers between them and a running balance for each.

Does it handle purchase orders?

Yes. Purchase orders are raised against a supplier with line items, and goods received against the order update stock balances.
