Student Management

Keep student information organised.

One record per student, shared by every other module. Enter a detail once and it is available wherever it is needed — fees, transport, attendance, examinations and reports all read from the same profile.

The problem

A student's details live in an admission register, their fees in a ledger, their bus route on a list, and their certificates in a file cabinet. Answering one parent's question means checking four places.

The student profile

Everything the office is normally asked for, on one screen.

  • Admission number, photograph, date of birth, gender and blood group
  • Residential address with district, state and PIN code
  • Class, section, roll number and academic year
  • Admission date and current enrolment status
  • Government identifiers such as Aadhaar, where your school chooses to record them

Guardians

Primary and secondary guardians are held against the student, and their mobile numbers are what fee reminders and absence alerts are sent to.

  • Guardian name, relationship and occupation
  • Contact number used for WhatsApp and SMS communication
  • Separate primary and secondary guardian records

The full lifecycle

A student record covers admission through to alumni, rather than being rewritten each year.

  • Year-end promotion with a recorded outcome — promoted, repeated or graduated
  • Exit records for transfers and withdrawals
  • Clearance checks before exit, with pending, cleared, waived or blocked status
  • Alumni records retained after the student leaves

Getting your data in

Migrating from spreadsheets should not mean retyping every student.

Student Management — common questions

Can we import students we already have in a spreadsheet?

Yes. SchoolerHub includes bulk student import, so an existing roll can be brought in rather than entered by hand. We help with the mapping during implementation.

What happens to a student's record when they leave?

An exit record is created — transfer or withdrawal — with a clearance check covering outstanding fees and library loans. The record is retained as an alumni record rather than deleted.

Can we record Aadhaar numbers?

Yes, the field exists, but recording it is your school's decision. If you do, it is personal data under the Digital Personal Data Protection Act, 2023 and your school is the data fiduciary for it.
